Lake District Mountain Guides – Terms & Conditions

We want your day in the mountains to be fun, safe, and straightforward. These Terms and Conditions explain what you can expect from us, and what we ask of you in return. By booking a guiding or instructional day with us, you’re agreeing to everything outlined below.

Lake District Mountain Guides Ltd is a UK-based limited company run by James Boothroyd.

1. Booking & Payment

  • All bookings must be made in advance and are subject to availability.

  • A booking is confirmed once we receive a 50% deposit.

  • The remaining balance is due no later than 7 days before your activity. If booking within 2 weeks, full payment is required upfront.

  • Late payment may result in cancellation and loss of deposit.

  • If you need to change the date, we’ll do our best to accommodate this, but a £50 rearrangement fee may apply to cover logistics and admin.

2. Cancellations & Refunds

If you cancel:

  • More than 4 weeks before: full refund

  • 2–4 weeks before: 50% refund (minus £10 admin fee)

  • Less than 2 weeks: no refund

If we cancel:

  • We may need to cancel or rearrange due to weather, safety concerns, or guide availability. If so, we’ll offer an alternative date or a full refund of any guiding fees paid.

  • Unfortunately, we can’t cover other costs like travel, accommodation, or kit hire.

3. Participation & Safety

  • Mountain activities come with inherent risks. By booking, you acknowledge and accept these.

  • You must follow all safety guidance provided by your guide. Failure to do so may lead to your session ending without a refund.

  • Please tell us in advance about any relevant medical conditions.

  • We may refuse participation to anyone we feel is unfit, unprepared, or under the influence of alcohol/drugs—with no refund.

  • Mountain conditions and weather may require plans to change. We’ll always try to make the most of the day, but refunds won’t be given due to weather alone.

  • Sorry—no pets allowed on guided days.

4. Liability & Insurance

  • We are fully insured for public liability and professional indemnity.

  • Clients must arrange their own personal accident and travel insurance that covers mountain activities, rescue, and medical treatment.

  • We’re not responsible for loss or damage to your personal belongings.

  • You take part at your own risk—even with expert guidance, mountain activities carry unavoidable hazards.

  • You must be physically prepared for your chosen activity. If we feel you're not adequately fit, we may have to turn you away with no refund.

  • We are not responsible for injuries caused by hired or personal equipment, although we will always help assess equipment safety.

5. Equipment

  • We’ll provide the technical climbing kit unless told otherwise.

  • You’re welcome to use your own gear—it just needs to be checked and approved by your guide.

  • You’re responsible for returning any borrowed or rented kit in good condition. Charges may apply for damaged or lost equipment.

  • Misuse or negligence that results in damage to our kit may require you to cover the full replacement cost.

6. Governing Law

  • These Terms and Conditions are governed by English Law.

  • Any disputes will be resolved in accordance with English legal procedures.

7. Privacy & Media Use

  • We only collect personal information relevant to your booking and safety. This data is never sold or shared without your consent.

  • Sometimes we take photos or video on guided days for use on our website and social media. If you’d rather not appear in anything, just let us know beforehand.

8. Other Info

  • Under 18s must be accompanied by a parent, guardian, or teacher—or have written parental consent.

  • We can’t take responsibility for storing your bags or valuables—please plan accordingly.

  • We strongly recommend taking out cancellation insurance.

  • Please inform us of any booking changes at least 7 days before your activity.

  • We can’t guarantee ticking off a specific summit or climb—your guide’s safety decisions always come first.

9. Payment Methods

  • We accept payment by UK bank transfer, international bank transfer (please cover any associated fees), or PayPal.

  • Cheques must clear before your session date.

  • Full payment instructions will be provided upon booking.

10. Updates to These Terms

  • We reserve the right to make changes to these Terms and Conditions. You’ll be informed of any relevant updates before your course.
